Who uses Rentomatic and Complete Rent Management™?

Rentomatic online property management service is used by owners, investors, property managers and other real estate professionals who self manage their portfolios. Rentomatic may be used by owners who have just a few units to professional managers with multiple portfolios. Rentomatic also has corporate online property management service solutions for billing and rent payments. Rentomatic is perfect for people who need to access their information and take action from anywhere, whether they are at the office, at home, or on the go.

Rentomatic's Complete Rent Management™ service is the only online property management solution to offer multiple forms of payment for automated rent collection including paper checks.

Unlike traditional software programs, Rentomatic is a property management service that can perform work for you such as:

• provide real-time market data as it applies to your portfolio
• invoice tenants - through the US mail and through e-mail
• collect and deposit your rents
• automatically update your rents as receivables
• notify you of upcoming portfolio events
• automatically send out rent payment reminders
• print and mail your custom notifications to tenants such as: maintenance reminders and lease renewal reminders

Does my Rentomatic subscription include a website for my tenants?

Yes, all Rentomatic subscriptions include a separate site for your tenants to login to view web-based communications. Advanced plan subscriptions include maintenance ticketing and tracking. Tenants can also view copies of invoices and pay rent online if you add Complete Rent Management™ to your Rentomatic plan.

Is maintenance tracking included?

Maintenance ticketing and tracking is included in the Rentomatic Advanced plan subscription. Tenants can login and submit maintenance requests. Requests and actions on requests will be tracked in the system so you will know who submitted which request and when, and track progress and notes on actions. Using Rentomatic to ticket and track maintenance means that everything is organized as it happens and you receive fewer phone calls and voice mail messages.


Complete Rent Management™

Can I choose which units to enroll in Complete Rent Management™?

Yes! You can manage all of your units in Rentomatic while you select specific units to enroll in Complete Rent Management. You have the power to choose.

Can I use Rentomatic without Complete Rent Management™?

Yes. You can use Rentomatic without subscribing to Complete Rent Management and collect and process your own rents manually.

Once a tenant submits a payment when will I be notified?

Rentomatic alerts landlords that payments were made on same day the payment is received. Rentomatic also immediately updates the tenant accounts to show when the payments were submitted and the status of those payments.

How much time does it take to receive rents through Rentomatic?

Rentomatic verifies your tenants’ payments within three business days and then immediately submits them to your account for deposit.

The time it takes from when Rentomatic submits the deposit to your bank to when the deposit clears your account may vary depending upon your bank. Typically the entire process from start to finish takes no more than five business days.

When you accept checks through Rentomatic, your tenants’ checks are scanned by Rentomatic and the bank the same day they are received! When your tenant makes a payment received by Rentomatic (online and checks), your Rentomatic account will immediately be updated every step of the way, informing you of when payments were received, processed and when they were submitted to your bank.

What happens if a tenant does not send their rent on time or if a tenant makes a partial payment?

If Rentomatic does not receive a rent payment on time, we will alert you that the payments was not received on time and after your specified grace period, we will automatically send the tenant a late payment reminder with a payment coupon and payment envelope. If you're lease agreement includes late fees, Rentomatic will automatically calculate the late fee and include it in the next invoice.

If a tenant makes a partial rent payment, Rentomatic will accept the payment, alert you of the payment status, calculate any required late fees, update your accounting ledger and status reports, automatically send out a late payment reminder and automatically update the next invoice.

How much does Complete Rent Management™ really cost? Are there hidden fees?

You can add Complete Rent Management to either the Free subscription plan or the Advanced subscription plan for $5.00 dollars per unit per month. There are no per-use transaction fees for echecks or paper checks, no setup fees and no cancellation fees.

There are no additional fees involved unless a tenant bounces a check or makes a payment with insufficient funds.

In the event that a tenant bounces a check or submits the payments with insufficient funds, there is a service fee of $25 per incident. In the event that a tenant reverses a payment after Rentomatic has deposited rent to your bank account, Rentomatic will in turn reverse the payment from your bank account.

How do I subscribe and set up Complete Rent Management™?

It's easy!
1. Select your Rentomatic plan: Free plan or Advance plan
2. Add Complete Rent Management to you or subscription
3. Follow the on-screen instructions
We will only prompt you for critical pieces of information during setup. Rentomatic will verify your bank accounts for deposits.

With a quick set up and account verification, Rentomatic is ready to automatically invoice your tenants and process your rents!

How do I know that my rental payments will be transferred to the correct account?

Rentomatic verifies your bank account by making two small deposits into your account and then asking you to confirm the deposit amounts. By confirming the deposit amounts correctly, you'll confirm that Rentomatic has the correct account number for you.

If my tenants pay via Complete Rent Management™?, will I never have to record rents and received again?

That's right! Rentomatic processes your payments and instantly records them in your income and expense ledger, your rent roll and provides a summary report for recent activities. Your accounting ledger can be exported to a standard spreadsheet format for import into other accounting applications.

Is there a limit to the amount of money I can be paid through Rentomatic’s Complete Rent Management™?

Rent payments are currently limited to a maximum of $10,000 per unit per month.

Where is Complete Rent Management™ available?

Rentomatic can bill your tenants online and process online payments throughout the United States.

Check processing is currently available for rental properties in the following states: Arkansas, California, Colorado, Connecticut, District of Columbia, Florida, Idaho, Illinois, Kentucky, Maryland, Massachusetts, Mississippi, Nevada, New Jersey, New York, Oklahoma, Oregon, Pennsylvania, Rhode Island, South Dakota, Texas, and Virginia

We will be rapidly adding states over the next few months. If you own a rental property in a state that is not on the list and would like to use our offline services, let us know the state or states in which you would like to see the service become available.

What do the invoices my tenants will receive look like?

With Rentomatic, you will be able to send professional quality invoices to your tenants by mail. You can view a sample invoice here.

Postal Notices

Can I schedule a postal notices to go out on any day?

Yes, both email and postal notices can be scheduled to go out on the day you choose.

What is the difference between custom postal notices and the invoices used in Complete Rent Management™

When you subscribe to Complete Rent Management, your monthly invoices and late payment reminders are automatically set up for you and included in your rent processing subscription, at no additional cost.

Custom postal notices may include any additional letters to you wish to send to your tenants through Rentomatic such as:

• notice of repairs
• maintenance service requests
• lease renewal reminders
• a subject of your choosing

Rentomatic will print and mail these notices for you, then file a copy to your account for your records. Custom postal notices may be sent at any time you wish for an additional charge of $1.50 each.


Cancellation of Service

Do I have to subscribe for an extended period?

No. We believe our customers will use our online property management system because it is the easiest to use and provides the best value. There are no long term subscription obligations. If our service doesn't work for you, you can cancel at any time with no penalty.

Is my data backed up in case of an emergency?

Data is backed up offsite every night, and is stored on multiple disks. If a disk fails, no data will be lost, and the system will not go down. We can perform full backup recovery in the event of a system-wide emergency, and our uptime is over 99%.
